People often ask me, “Why can’t I get things done?” And I tell them that the explanation is not so simple, but the solution is just that. Here is a list of the 5 most common productivity blockers with their solutions.

  • Poor Time Management: Allocate time realistically, factoring in potential delays and unexpected events. Double or triple your estimated task duration to ensure ample time for completion, including commute and buffer time.

  • Overwhelming Tasks: Break down long-term goals into smaller, manageable tasks to build momentum and track progress effectively.

One of the fundamental reasons people struggle to get things done is the lack of clear, well-defined goals. Without a clear direction, it’s easy to become distracted or bogged down by tasks that don’t align with your ultimate objectives.

Start by selecting a goal setting framework. The most popular one is SMART goals—Specific, Measurable, Achievable, Relevant, and Time-bound. This technique ensures that your goals are well-rounded and actionable. For instance, instead of aiming to “improve health,” set a goal to “walk 10,000 steps daily for 30 days.” This clarity helps direct your efforts towards a measurable and achievable end.

Over the next 30 days, I will walk a minimum of 10,000 steps every day to improve my physical health and overall well-being. I will track my daily step count using a fitness tracker and adjust my schedule to ensure I meet this target. By the end of the 30-day period, I expect to see improvements in my energy levels, endurance, and overall fitness level, leading to a healthier lifestyle.

Moreover, regularly reviewing and adjusting your goals is essential. Life changes, and so should your goals. Monthly or quarterly reviews can help ensure that your goals still align with your changing circumstances and priorities. This adaptive approach keeps you engaged and focused, significantly boosting your productivity.

Mastering Time Management

Effective time management is crucial for productivity. Many people feel they can’t get things done simply because they do not have enough time. The truth is they were never taught how to manage their time efficiently. When I became a wellness coach, it became clear to me that time management is a huge part of wellness because most people would take care of themselves if they had the time.

So begin by analyzing how you currently spend your day. And I mean analyze. Take a day or even a week and write down your daily activities. If this is too daunting for you, there are time tracking apps that can provide insights into periods of peak productivity and time-wasting activities.

Once you’ve identified your energy patterns, strategically structure your day to align with your high-energy phases. Incorporate productivity techniques, such as the Pomodoro Technique, which involves working in concentrated intervals followed by brief breaks.

The final step people often overlook is scheduling buffer time at the beginning and end of your tasks or appointments. The unexpected happens! A meeting runs late, you get stuck in traffic. Do not just wait for these things to derail your day. Plan for it! Schedule in your commute times, add an additional 15 minutes to the end of your meetings, and even schedule time in the day for catch-up work.

This approach not only sustains focus but also guards against burnout, ensuring optimal productivity and well-being throughout your day.

Setting Boundaries

Additionally, learn to say ‘No’ to non-essential tasks. Prioritizing tasks that contribute significantly to your goals over busywork can free up a lot of time. This doesn’t mean you should ignore lesser tasks entirely, but rather schedule them in a way that they do not interfere with your high-priority goals.

What I like to do is schedule my highest priority tasks first with a reasonable estimate of how long it will take to get done. Remember, I double or the amount of time I think it will take. Then, with the time left over, I pencil in lower priorities.

Also, please do not feel bad or guilty about saying ‘No.’ You are not being malicious or inconsiderate. It is okay to do what makes you happy as long as you are there for others when it really counts.

If you do happen to have a task that you just cannot say no to, consider delegation. Effective delegation is key to reclaiming your time. Whenever possible, delegate tasks that others can perform so you can focus on those that require your unique skills and abilities.

Simplifying Overwhelming Tasks

It requires establishing clear communication channels, delineating when and how to communicate effectively, promoting collaboration among team members, and ensuring everyone has access to the necessary resources and support.
